Tender Analysis for Actuator Manufacturers

Valve actuator tenders set torque, duty, fail-safe, hazardous-area and communication requirements tag by tag, across actuator datasheets, valve schedules and control philosophy documents. TenderGenie is tender analysis software for actuator manufacturers that brings those requirements together with their sources, so application engineers can select and check the offer from complete information.

Tender challenges

Every valve tag brings its own actuator.

  1. Sizing waits on valve data

Actuator selection depends on the break, run and seating torques the valve maker declares, and on the sizing margin the specification asks for.

  2. Many tags, many combinations

One schedule can mix on-off and modulating duty, different stroke times, fail-safe actions, power supplies and control protocols.

  3. Certificates that must match

ATEX or IECEx certificates and SIL evidence have to cover the model, options and configuration actually offered.

  4. The valve interface

Mounting flanges, drive couplings, mounting kits and testing with the valve can sit with either supplier unless the tender says who is responsible.

Five tools for manufacturers

From your catalogue to a complete offer for actuator manufacturers.

One power plant enquiry for electric valve actuators, followed through the five tools from your own catalogue to the compiled offer.

  1. Datasheet Extraction

    The problem
Product details are buried in long PDFs, from your own catalogues to the buyer's specifications. Copying values into a spreadsheet is slow and error-prone.
    What it does
Reads those documents and pulls the key technical specifications out as organized data.
Your multi-turn actuator catalogue, PDFIllustrative example
    Output torque60 to 500 Nm
    Supply415 V, 3-phase
    EnclosureIP68
    Valve attachmentISO 5210, F10 and F14
    InterfacesProfibus DP, HART
  2. Filled-in Datasheet

    The problem
Tenders ask for the buyer's own datasheet format with every specification filled in, which means copying and typing the same values again.
    What it does
Fills the buyer's template with the data extracted from your product documents, so your team reviews instead of typing.
    Buyer's datasheet, bidder sectionIllustrative example
    Rated torque300 Nm
    Operating time30 s
    Position feedback4 to 20 mA
    EnclosureIP68

  3. Enquiry Checklist

    The problem
A tender holds hundreds of requirements, certifications and conditions, and missing one can get a bid rejected.
    What it does
Turns the buyer's requirements into a checklist of what to supply, what you meet and what is missing.
    From the buyer's requirementsIllustrative example
    • IP68 type test certificateHave it
    • Integral starterHave it
    • Torque curves with the offerTo supply
    • QAP in the buyer's formatTo supply
    • SIL 2 certificate for this modelMissing: needs a decision
  4. Keywords Extraction

    The problem
Telling what a tender is about, and whether it fits you, means reading all of it, and important terms still get missed.
    What it does
Pulls out product types, standards, brands and deadlines, so you can filter, search and decide what to check first.

    • ProductMulti-turn electric actuator
    • ProductPart-turn gearbox
    • StandardISO 5210
    • StandardSIL 2
    • BrandApproved makes list
    • CommercialPayment on commissioning
    • DeadlineBids due 5 Jan
  5. Response Builder

    The problem
A submission is a set of documents: certificates, declarations, price schedules and annexures. Missing one can disqualify the bid.
    What it does
Checks that every required document is included, fills in the annexures from your data and compiles one ready-to-submit package.
Documents the tender asks forIllustrative example
    • Annexure A, company profileFilled in
    • Technical compliance tableFilled in

Read closely

Actuator Manufacturers: the tender, as TenderGenie reads it.

Move over the page: the lens shows the passages TenderGenie brings out, each with what it means for the bid. The excerpt is illustrative.

Section 6: Valve actuators (illustrative excerpt)

6.1 Each actuator shall be supplied to its individual datasheet in the actuator schedule, with mounting to ISO 5211 for part-turn and ISO 5210 for multi-turn valves.

6.2 Actuators shall be sized for not less than 1.25 times the maximum valve torque declared by the valve manufacturer. Valve torque data will be issued after award, and the actuator supplier shall provide the mounting kits.

6.3 Electric actuators shall have integral controls with Profibus DP and redundant ports. Actuators in Zone 1 shall be certified Ex db IIB T4 to ATEX and IECEx with IP68 enclosures.

6.5 Shutdown valve actuators shall be spring-return pneumatic, failing closed on loss of air or signal within a stroke time of 10 seconds. SIL 2 capability evidence and the safety manual shall be submitted with the offer.

9.3 Each valve and actuator assembly shall be functionally tested and witnessed before dispatch. Liquidated damages of 0.5% per week apply to late delivery.

What TenderGenie brings out

In the tender pack

The vocabulary of an actuation package.

Items that recur in actuator datasheets and specifications, and what the bid team checks for each.

  1. Term 01

    Valve torque data

The break, run and seating torques or thrust declared for each valve, to which the specified sizing margin is applied.

  2. Term 02

    Duty classification

Whether a tag is on-off, positioning or modulating, which sets the duty rating and starts per hour the actuator must meet.

  3. Term 03

    Fail-safe action

What the valve must do on loss of power, air or signal: close, open or stay in place, and how the actuator achieves it.

  4. Term 04

    Hazardous-area marking

The ATEX or IECEx protection concept, gas group and temperature class required where the actuator is installed.

The bid, start to finish

Five stages, applied to actuator manufacturers.

Teams use the stages they need and revisit them as requirements become clearer.

Worked example: From an actuator schedule to a reviewed offer. Illustrative, not a customer case study.

  1. Discover

Find tenders and enquiries for valve actuators, gearboxes and valve automation packages, scored for relevance.

In the exampleAn actuator manufacturer finds an EPC enquiry for the actuated valves of a gas processing unit.

    Tender Sourcing
  2. Understand

Extract actuator datasheets, valve schedules and control and wiring requirements for each tag, each with its source.

In the exampleThe team uploads the specification, actuator datasheets and valve schedule and extracts each tag's duty, fail-safe action, area classification and protocol.

    Document Intelligence
  3. Decide

Flag missing torque data, certification and SIL evidence, interface responsibilities and commercial risks before bidding.

In the exampleValve torque data is missing for several tags, and SIL evidence is required for the shutdown valves. The bid manager records a decision to bid with the sizing basis stated as an assumption.

    Risk & Compliance
  4. Execute

Assign tags and queries to application engineering, then prepare the compliance sheet, certificates and forms for review.

In the exampleApplication engineering reviews the tags assigned to them, and the Response Builder attaches the certificates and compiles the compliance sheet and forms.

    Collaboration
  5. Learn

Keep each buyer's accepted deviations, documentation needs and lessons for the next actuator tender.

In the exampleThe EPC's response to the sizing assumption is recorded as a lesson for the next enquiry.

Questions

Actuator Manufacturers
questions answered.

Can TenderGenie fill in a buyer's actuator datasheet?

Yes. Datasheet Extraction pulls torque, supply, enclosure, attachment and interface data out of your catalogues and the buyer's documents into a table. Filled-in Datasheet uses that data to complete the bidder section of the buyer's datasheet, for application engineering to review instead of typing.

What does the enquiry checklist show for an actuator tender?

It turns the buyer's requirements, certifications and conditions into a checklist of what to supply, what you already meet and what is missing, such as a SIL certificate for the offered model. Missing items wait for your team's decision before you bid.

What should an actuator bid team check first in a tender?

The datasheet for each tag, the valve torque data and sizing margin, duty, stroke time and fail-safe action, the area classification and SIL requirements, the control and communication interface, testing, and the commercial terms. Document Intelligence brings these together across the tender pack, each with a reference to its source.

Can it read actuator datasheets for many valve tags?

Yes. Document Intelligence supports complex datasheets, including cross-referenced and multivalued templates, in PDF and XLS files. Datasheet layouts vary between buyers, so test it with a representative actuator schedule from your own tenders.

How do we track missing torque data and other open questions?

Collaboration assigns each question to an owner with a due date and keeps the query with the tender, so the bid manager can see what is still open. Clarifications with the buyer or the valve supplier follow the buyer's own process and deadline.

Can it check hazardous-area and SIL requirements against our documents?

Risk & Compliance compares tender requirements with your organization's credentials and documents and links each obligation to its source clause, and the Response Builder attaches certificates from your organization documents. Engineering confirms that each certificate covers the model and configuration offered.

Does TenderGenie size actuators or approve deviations?

No. Actuator sizing, torque margins, certification statements and the acceptance of each deviation stay with your application engineers and bid leads. TenderGenie brings the requirements and their sources together, and Risk & Compliance shows the clause behind each one, so specialists can focus on those decisions.

What does an actuator bid team gain from TenderGenie?

Requirements for each valve tag in one place with their sources, missing data and certification questions tracked to an answer, interface and commercial risks visible before the bid decision, certificates attached from your organization documents and buyer-specific lessons ready for the next offer.
