Tender Analysis for Compressor Manufacturers

A compressor offer rests on operating cases, datasheets, test requirements and guarantees spread across a large tender pack. TenderGenie brings tender analysis to compressor manufacturers, gathering those requirements with their sources so sales, application engineering and commercial teams can check them, flag risk and prepare a reviewed offer.

Tender challenges

Every kilowatt quoted becomes a commitment.

  1. Guarantees with a price on them

Capacity and power consumption are guaranteed at stated conditions and tolerances, and the tender can load extra power in the evaluation or penalize a shortfall at the test.

  2. Process data across several sheets

Gas composition, flow and suction and discharge conditions for each operating case sit on process datasheets, while mechanical datasheets and specifications add the machine requirements.

  3. Battery limits and sub-vendor items

Where the package ends for piping, electrical and instrumentation, and who supplies the motor, coolers, dryer or lube oil system, is easy to read in two ways.

  4. Tests, documents and lead time

Mechanical run and performance tests, vendor document lists and delivery dates backed by liquidated damages all become obligations once the order is placed.

Five tools for manufacturers

From your catalogue to a complete offer for compressor manufacturers.

One power plant instrument air enquiry, followed through the five tools from your own catalogue to the compiled offer.

  1. Datasheet Extraction

    The problem
Product details are buried in long PDFs, from your own catalogues to the buyer's specifications. Copying values into a spreadsheet is slow and error-prone.
    What it does
Reads those documents and pulls the key technical specifications out as organized data.
Your oil-free screw compressor catalogue, PDFIllustrative example
    Free air delivery10.2 m³/min
    Working pressure8 bar(g)
    Shaft power75 kW
    TypeOil-free rotary screw
    Noise level72 dB(A)
  2. Filled-in Datasheet

    The problem
Tenders ask for the buyer's own datasheet format with every specification filled in, which means copying and typing the same values again.
    What it does
Fills the buyer's template with the data extracted from your product documents, so your team reviews instead of typing.
    Buyer's technical data sheetIllustrative example
    TypeOil-free screw
    FAD at site conditions10.2 m³/min
    Discharge pressure8 bar(g)
    Noise at 1 m72 dB(A)

  3. Enquiry Checklist

    The problem
A tender holds hundreds of requirements, certifications and conditions, and missing one can get a bid rejected.
    What it does
Turns the buyer's requirements into a checklist of what to supply, what you meet and what is missing.
    From the buyer's requirementsIllustrative example
    • Oil-free screw compressors supplied beforeHave it
    • Noise below 85 dB(A) at 1 mHave it
    • Performance curves and FAD calculationTo supply
    • Schedule of performance guaranteesTo supply
    • One year of operation, user certificateMissing: needs a decision
  4. Keywords Extraction

    The problem
Telling what a tender is about, and whether it fits you, means reading all of it, and important terms still get missed.
    What it does
Pulls out product types, standards, brands and deadlines, so you can filter, search and decide what to check first.

    • ProductInstrument air compressor
    • ProductAir dryer

    • StandardISO 8573-1
    • BrandApproved motor makes

    • DeadlineBids due 18 Dec
  5. Response Builder

    The problem
A submission is a set of documents: certificates, declarations, price schedules and annexures. Missing one can disqualify the bid.
    What it does
Checks that every required document is included, fills in the annexures from your data and compiles one ready-to-submit package.
Documents the tender asks forIllustrative example
    • Annexure A, company profileFilled in
    • Technical data sheetFilled in

Read closely

Compressor Manufacturers: the tender, as TenderGenie reads it.

Move over the page: the lens shows the passages TenderGenie brings out, each with what it means for the bid. The excerpt is illustrative.

Section 6: Compressor package (illustrative excerpt)

6.1 The compressor shall be designed to API 618 for all operating cases on the process datasheet, including start-up and the alternate gas composition.

6.3 The package includes the motor, coolers, pulsation dampers and a lube oil system to API 614. Package scope ends at the inlet and outlet flanges shown on the P&ID.

7.2 Capacity and power shall be guaranteed at the rated case, with no positive tolerance on power. Power above the guaranteed value is loaded in the bid evaluation at the rate stated in Annexure F.

8.1 A mechanical run test and a performance test witnessed by the purchaser shall be carried out at the works before dispatch.

9.4 Delivery is 14 months from the purchase order. Liquidated damages of 0.5% per week apply, capped at 7.5% of the order value.

What TenderGenie brings out

In the tender pack

Terms behind a compressor guarantee.

Common items in compressor tender packs, and what the bid team needs to check for each.

  1. Term 01

    Operating cases

The sets of gas composition, flow and suction and discharge conditions the compressor must cover, as stated on the process datasheet.

  2. Term 02

    Guaranteed power consumption

The power the bidder commits to at the rated point. Some tenders load it in the bid evaluation and test it against an agreed tolerance.

  3. Term 03

    Battery limits

The boundary of the package, where the supplier's scope ends and the buyer's or EPC's piping, electrical and instrumentation begin.

  4. Term 04

    Shop tests

The mechanical run, performance and other tests at the works, and which of them the purchaser witnesses.

The bid, start to finish

Five stages, applied to compressor manufacturers.

Teams use the stages they need and revisit them as requirements become clearer.

Worked example: From a process gas enquiry to a reviewed offer. Illustrative, not a customer case study.

  1. Discover

Find compressor, blower and compressed air tenders in the categories you supply, scored for relevance.

In the exampleA compressor manufacturer finds a refinery tender for a reciprocating hydrogen make-up compressor package in its categories.

    Tender Sourcing
  2. Understand

Extract operating cases, datasheet values, applicable standards, test requirements and the scope of supply, each with its source.

In the exampleThe team extracts the operating cases from the process datasheet, the compressor and lube oil system requirements from the specification and the test and document requirements from the annexures.

    Document Intelligence
  3. Decide

Flag performance guarantees, penalty and evaluation clauses, delivery terms and scope gaps before the decision to bid.

In the exampleA clause that loads power above the quoted figure in the evaluation is flagged for the commercial lead, and a question on who supplies the coolers is raised before the decision to bid.

    Risk & Compliance
  4. Execute

Assign datasheet, deviation and sub-vendor questions to engineering and compile the technical and commercial response.

In the exampleEngineering answers its assigned questions and states each deviation, and the Response Builder compiles the technical offer, forms and certificates.

    Collaboration
  5. Learn

Keep clarifications, accepted deviations and outcomes against each buyer and EPC for the next enquiry.

In the exampleThe EPC's answer on the cooler scope and the accepted deviations are recorded for the next enquiry.

Questions

Compressor Manufacturers
questions answered.

Can TenderGenie fill in a buyer's compressor data sheet?

Yes. Datasheet Extraction pulls values such as free air delivery, pressure, power, type and noise out of your catalogues and the buyer's documents into a table. Filled-in Datasheet uses that data to complete the bidder fields of the buyer's data sheet, for your engineers to review instead of typing.

What does the enquiry checklist show for a compressor tender?

It turns the buyer's requirements, certifications and conditions into a checklist of what to supply, what you already meet and what is missing, such as an operating certificate from a user. Missing items wait for your team's decision before you bid.

What should a compressor bid team check first in a tender?

The operating cases on the process datasheet, the applicable standards, the guarantee and test requirements, the scope of supply and battery limits, and the delivery and penalty terms. Document Intelligence brings these together across the tender pack, each with a reference to its source.

Can it read process and mechanical datasheets?

Yes. Document Intelligence supports complex datasheets, including cross-referenced and multivalued templates, so values such as gas composition and suction and discharge conditions can be reviewed with their source. Test it with datasheets from your own tenders.

How are performance guarantees and penalty clauses reviewed?

Risk & Compliance maps the obligations each clause creates and flags risks with a reference to the source, so guarantee, evaluation, test and liquidated damages clauses reach engineering and the commercial lead before the bid decision.

How do we handle battery-limit and sub-vendor questions?

Collaboration assigns each question, such as who supplies the motor, coolers or dryer, to a named owner with a due date and keeps the answer with the tender. Where the buyer has to confirm, the team raises a clarification through the buyer's process.

Can TenderGenie size a compressor or confirm a performance guarantee?

No. TenderGenie does not select or size compressors, calculate performance or confirm that a guarantee can be met. Document Intelligence helps the team read the datasheets, specifications and terms in context, so rotating equipment engineers can focus on selection and on the commitments the offer makes.

What does a compressor bid team gain from TenderGenie?

Operating cases and requirements in one place with their sources through Document Intelligence, guarantee and penalty clauses visible in Risk & Compliance before the bid decision, scope and sub-vendor questions owned by named people and accepted deviations kept in Enterprise Memory for the next enquiry.
