Tender Analysis for Pipe & Fittings Manufacturers

Pipe and fittings tenders can list hundreds of items by size, schedule and grade, while the material, certificate and inspection requirements behind each line sit in the piping specifications. TenderGenie provides tender analysis for pipe and fittings manufacturers, bringing those requirements together with their sources so sales and engineering can check each line before it is priced.

Tender challenges

Hundreds of lines, each with its own spec.

  1. Every line is its own item

A schedule of quantities can run to hundreds of lines, each with its own size, schedule or class, material grade and end type.

  2. The line points to a piping class

A line may give only a size and a class code. The material, rating and testing come from the piping specification it refers to.

  3. Proof as well as product

Certificate type, heat-number traceability, PMI, third-party inspection and approved-manufacturer lists can each rule an offer in or out.

  4. Firm prices on moving steel

Price basis, delivery periods, liquidated damages and quantity variation clauses decide whether a low unit rate still works.

Five tools for manufacturers

From your catalogue to a complete offer for pipe and fittings manufacturers.

One refinery requisition for fittings and flanges, followed through the five tools from your own product range to the compiled offer.

  1. Datasheet Extraction

    The problem
Product details are buried in long PDFs, from your own catalogues to the buyer's specifications. Copying values into a spreadsheet is slow and error-prone.
    What it does
Reads those documents and pulls the key technical specifications out as organized data.
Your butt-weld fittings catalogue, PDFIllustrative example
    ProductElbows 90°, long radius
    Sizes½" to 24"
    SchedulesSCH 10 to XXS
    MaterialsASTM A234 WPB, A403 WP316L
    Dimensional standardASME B16.9
  2. Filled-in Datasheet

    The problem
Tenders ask for the buyer's own datasheet format with every specification filled in, which means copying and typing the same values again.
    What it does
Fills the buyer's template with the data extracted from your product documents, so your team reviews instead of typing.
    Buyer's line-item offer sheetIllustrative example
Item 14, grade offeredASTM A234 WPB, seamless

    Item 22, standardASME B16.11, 3000#
CertificateEN 10204 3.1 with heat no.

  3. Enquiry Checklist

    The problem
A tender holds hundreds of requirements, certifications and conditions, and missing one can get a bid rejected.
    What it does
Turns the buyer's requirements into a checklist of what to supply, what you meet and what is missing.
    From the buyer's requirementsIllustrative example
    • Manufacturer, not traderHave it
    • Past supply orders in 12 monthsHave it
    • Sample mill test certificateTo supply
    • Dimensional drawings with the offerTo supply
    • HIC test for NACE line itemsMissing: needs a decision
  4. Keywords Extraction

    The problem
Telling what a tender is about, and whether it fits you, means reading all of it, and important terms still get missed.
    What it does
Pulls out product types, standards, brands and deadlines, so you can filter, search and decide what to check first.

  5. Response Builder

    The problem
A submission is a set of documents: certificates, declarations, price schedules and annexures. Missing one can disqualify the bid.
    What it does
Checks that every required document is included, fills in the annexures from your data and compiles one ready-to-submit package.
Documents the tender asks forIllustrative example

Read closely

Pipe & Fittings Manufacturers: the tender, as TenderGenie reads it.

Move over the page: the lens shows the passages TenderGenie brings out, each with what it means for the bid. The excerpt is illustrative.

Section 6: Fittings and flanges (illustrative excerpt)

6.1 Butt-weld fittings shall be seamless, to ASTM A234 WPB with dimensions to ASME B16.9 unless the piping class stated against the line requires otherwise. Wall thickness shall match the schedule of the connecting pipe.

6.3 Fittings and flanges for sour service lines shall comply with NACE MR0175/ISO 15156, with hardness testing on one item per heat per size.

6.5 Each item shall be traceable by heat number to its EN 10204 3.2 certificate endorsed by the third-party inspector. PMI shall be carried out on all alloy steel items before dispatch.

8.1 Prices shall remain firm until completion of supply. Delivery shall be completed within 12 weeks of the purchase order, with liquidated damages of 0.5% per week, capped at 5% of the order value.

9.2 Fittings shall be supplied only by manufacturers on the purchaser's approved vendor list. The purchaser may vary the ordered quantity by up to 25% at the quoted unit rates.

What TenderGenie brings out

In the tender pack

Read the piping class before the price.

Documents and terms that recur in pipe and fittings tender packs, and what the bid team checks in each.

  1. Term 01

    Piping material specification

The piping classes that set material, rating, schedule and end type for each line, often referred to by a class code in the schedule.

  2. Term 02

    Schedule of quantities

The line-by-line list of items with size, schedule or class, material and quantity, usually priced per line.

  3. Term 03

    Material test certificate

The mill or manufacturer certificate, often to EN 10204 3.1 or 3.2, traceable to the heat number marked on the item.

  4. Term 04

    Approved vendor list

The buyer's list of approved manufacturers, which can cover the raw material source as well as the finished fittings.

The bid, start to finish

Five stages, applied to pipe and fittings manufacturers.

Teams use the stages they need and revisit them as requirements become clearer.

Worked example: From a long fittings schedule to a reviewed offer. Illustrative, not a customer case study.

  1. Discover

Find tenders in the pipe, fittings and flange categories you supply, scored for relevance.

In the exampleA fittings manufacturer finds a refinery tender for butt-weld fittings and flanges in its carbon and alloy steel categories.

    Tender Sourcing
  2. Understand

Extract line items, material grades, piping class references and certificate requirements from the requisition, specifications and schedules, with sources.

In the exampleThe team uploads the material requisition, the piping material specification and the schedule of quantities, then asks which lines fall under sour service. The answer points to the piping class and the specification clause.

    Document Intelligence
  3. Decide

Check sizes, grades and approvals against what you make, and flag inspection, price and delivery terms before bidding.

In the exampleA 3.2 certificate requirement, a firm price and liquidated damages are flagged. Large-bore alloy tees are outside the range, and the tender allows part offers, so the bid manager records a decision to bid with those lines not quoted.

    Risk & Compliance
  4. Execute

Prepare the technical compliance, deviations and supporting documents, with engineering reviewing each line.

In the exampleEngineering reviews each deviation, and the Response Builder attaches approvals, sample certificates and past supply records and compiles the offer.

    Response Builder
  5. Learn

Record which deviations, alternative grades and certificate formats the buyer accepted, so the next offer starts from them.

In the exampleThe buyer's answer on an alternative grade is recorded for the next tender from the same refinery.

Questions

Pipe & Fittings Manufacturers
questions answered.

Can TenderGenie fill in a line-item offer for pipes and fittings?

Yes. Datasheet Extraction pulls grades, sizes, schedules and standards out of your catalogues and the buyer's requisition into a table. Filled-in Datasheet uses that data to complete the buyer's own offer format line by line, for your team to review instead of typing.

What does the enquiry checklist show for a pipe and fittings tender?

It turns the buyer's requirements, certificates and conditions into a checklist of what to supply, what you already meet and what is missing, such as a HIC test for NACE line items. Missing items wait for your team's decision before you bid.

What should a pipe and fittings team check first in a tender?

The schedule of quantities, the piping classes each line refers to, the material grades and standards, the certificate, PMI and inspection requirements, the approved-vendor conditions and the commercial terms. Document Intelligence brings these out of the tender pack, each with a reference to its source.

Can it read a long schedule of quantities?

Yes. Document Intelligence analyzes XLS, PDF and DOC files, including schedules and datasheets, and keeps a reference to the source of each requirement. Schedule layouts vary between buyers, so test it with a representative requisition from your own tenders.

Can we find which lines need sour service compliance, PMI or 3.2 certificates?

Yes, as a starting point. Document Intelligence answers questions across the whole tender workspace and points each answer to the clause or schedule it came from. Engineering confirms each line against the piping class before it is priced.

How are price, delivery and liquidated damages terms reviewed?

Risk & Compliance maps the obligations each clause creates, such as a firm price or price variation formula, the delivery period and liquidated damages, and flags risks with a reference to the source clause. The commercial lead decides how to price them.

Does TenderGenie select materials or approve deviations?

No. Material selection, alternative grades, deviations and inspection commitments stay with your engineering and quality teams. TenderGenie helps them read the specifications, schedules and conditions in context so they can focus on those decisions.

What does a pipe and fittings bid team gain from TenderGenie?

Line items and the requirements behind them in one place with their sources, certificate and inspection obligations visible before pricing, approvals and certificates attached from your organization documents and buyer-specific lessons ready for the next tender.
